"I need to tell our biggest client that their delivery is delayed. But how do I say it without sounding too blunt or making them angrier?"
In business, we frequently have to write these "high-stress emails." Apologizing for a mistake, proposing a difficult negotiation, or simply reaching out to an important senior figure.
With these emails, you already know the facts you need to convey. But you get completely stuck on how to say it—the tone, the formality, the Keigo (polite Japanese). Before you know it, you've spent 45 minutes staring at your screen just to write one paragraph.
It's time to let AI carry this mental burden for you.
Give AI the "Bullet Points," Let it Write the "Keigo"
The method is incredibly simple. All you have to think about are the raw facts. You bullet-point them and hand them to the AI.
"Draft an apology email to Mr. Tanaka at X Corporation based on the following. Keep it polite but ensure our sincerity comes across." - The A-parts scheduled for delivery will be 3 days late. - The cause is logistics disruption due to the storm. - As an alternative, we can deliver B-parts tomorrow. - We are truly sorry for the inconvenience.
Just by inputting this, the AI can quickly generate a solid business email draft using the correct Keigo (respectful and humble language).
Why I Personally Prefer "Claude" for This
When you hear "AI," you might immediately think of ChatGPT. But for drafting business Japanese (and even nuanced English), I personally often use another tool called Claude (its current model).
The reason is "naturalness."
In my experience, Claude is exceptional at generating natural, warm, and contextually appropriate business language. For about ~$20 a month (varies by tax/plan as of June 2026), it can feel like having a highly skilled executive assistant.
My Personal Rule: Never Just Copy, Paste, and Send
While the AI's drafts can be excellent, there is a personal rule I always follow.
"AI drafts, Human verifies."
I never simply copy, paste, and send the AI's text. I always read it through once to ensure it matches my personal voice and the specific relationship I have with the recipient.
Sometimes you might need to adjust it: "This is a bit too formal, let me soften it." But compared to agonizing for an hour starting from a blank page, spending 3 minutes tweaking a perfect draft is infinitely less stressful and time-consuming.
Let AI handle the stressful mechanics of writing. Use your saved time and energy to focus on actual customer service and your core business. That is the smartest way an SME can use AI.
