// before you touch any AI tool
Decide what's off-limits. Customer records, financial data, employee information — never paste these into a consumer AI tool. Turn off "chat history" in settings if you handle sensitive data.
Name one task you want to save time on. Don't start with everything. Pick one repetitive task that costs you 30+ minutes a week. That's your test case.
Set a 4-week trial. Commit to trying one task consistently for four weeks before judging whether it's worth it. First attempts are always slower.
// your first $20 setup
Start with Claude Pro or ChatGPT Plus (~$20/month, as of 2026-06, varies by tax/plan). Either works. Claude handles formal business writing especially well. ChatGPT's mobile app has the best voice input for on-the-go dictation.
Download the mobile app. Most time-saving happens on the go. Voice-to-text is the real unlock for busy owners.
// the first 3 tasks to try
Draft your next formal email. Tell the AI the situation in plain words. Ask it to write a polite, professional reply. You review and send — never send without reading.
Turn a voice note into a report. After a site visit or client meeting, dictate what happened into the app. Ask for a clean summary. Takes 5 minutes instead of 45.
Get one question answered faster. "How do I write an Excel formula to…" Stop spending 30 minutes Googling. Ask directly.
// the two rules that keep this safe
You always approve before anything goes out. AI drafts. You decide. Never auto-send, never publish without reading. This is the one non-negotiable.
If it feels wrong, it probably is. AI is confident even when it's wrong. If the output doesn't match what you know, trust yourself. Verify before you use it.
// when you're ready to do more
- Add a second task from the same category (more drafts, more summaries)
- Try Google NotebookLM — chat with your own documents (manuals, contracts) at no cost
- Consider a local AI model if data privacy is a concern — nothing leaves your device
The honest bottom line: About $20 a month (as of 2026-06, varies by tax/plan) is enough to get real results. A standard AI subscription plus your existing laptop. No enterprise contract. No specialist. Just a clear first task and the discipline to review what it produces.
